Airtable is a database powerhouse that many small businesses underestimate. With its in-house automations, public forms, dynamic interfaces, and library of extensions, Airtable is incredible.

Problem & Pain Points: The team and school has a large amount of expensive robotics parts that are easy to lose. The coaches don’t always have time to keep up with the inventory and they didn’t have a master list. The robotics company also did not supply an inventory list or a method to track inventory.
Project Scope: Create a master database of all the robotics parts. Make it possible for teachers and students to help maintain the list with semi-annual inventory counts.
<aside> 🔑 Project Summary: I created an Airtable database that would give the team more flexibility than a google sheet. I started with collecting all inventory lists that I could find on the internet and through different robotics coaches posts in robotics forums. I used scripts to get the lists unformatted and to check for errors, but the images had to be added manually. In the end, the Airtable database was a perfect fit for the team.
With the dynamic viewing possibilities, this solution was perfect for making the information easy to sort, organize, and it was easily shareable to students phones and tablets with just a URL link. The teams now have a parts guide at their fingertips during building sessions.
The EXTRA mile: I decided after making the bulk of the library, that this would be a great opportunity to use Airtable’s newer Interface tool where I could create a front facing app that would make it possible for the students to use because they would not be able to edit the the permanent records and the teacher will be able to check and verify inventory. Giving the students this responnsibility enforces VEX IQ Student-Centered Policy.
